Legal Secretary Job Description
Location: Buffalo, NY
The Legal Secretary provides essential administrative and clerical support to attorneys and legal professionals, ensuring the efficient operation of legal processes and documentation. This position is located in Buffalo, NY and requires a detail-oriented individual with strong organizational and communication skills. Minimum Qualifications
  • Proficiency in legal terminology and investigative techniques
  • Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, Access, PowerPoint)
  • Experience with web-based applications and databases
  • Excellent written and oral communication skills
  • Ability to manage multiple tasks, prioritize workload, maintain organized files, and meet deadlines
Preferred Qualifications
  • Experience supporting professional medical conduct processes
  • Familiarity with SharePoint
Job Duties and Responsibilities
  • Assist in the investigation of administrative complaints, developing investigative plans for cases involving violations of applicable laws
  • Obtain, review, track, and document all necessary investigative materials and activities in relevant databases and software applications
  • Prepare summary reports for investigations
  • Coordinate, research, prepare, and proofread responses related to Freedom of Information Law (FOIL) requests
  • Support Executive Correspondence Unit (ECU) inquiries from leadership offices
  • Assist in gathering materials, conducting research, preparing documentation, and communicating with external stakeholders for subpoenas
  • Present findings before internal committees as required
  • Conduct in-person and telephone interviews with complainants, witnesses, and investigation subjects
  • Communicate professionally by phone with licensees, attorneys, complainants, facilities, and other stakeholders
  • Draft and proofread correspondence related to complaints or investigations
  • Coordinate, track, and respond to inquiries via Bureau Mail Log (BML)
  • Prepare, track, and disseminate incoming and outgoing mail
  • Schedule meetings and conferences, and assist with technological needs during such events
  • Scan and electronically file various documents, including medical records and quality assurance files, and distribute them to appropriate staff
  • Perform other duties as assigned by the supervisor
