Homeownership Development Project Assistant (Temporary)
Position Summary
The Homeownership Development Project Assistant provides essential administrative and operational support to the Homeownership Program team, ensuring the timely and accurate processing of homeownership sales documentation, payment requests, and program data. This role requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment while handling sensitive and confidential information.
Key Responsibilities Homeownership Sales Administration
  • Monitor and manage incoming correspondence related to homeownership sales transactions.
  • Download, organize, and maintain due diligence files submitted through various communication channels.
  • Review submitted documentation against established home sale checklists to ensure completeness and compliance.
  • Coordinate with legal counsel and internal stakeholders to facilitate follow-up requests and resolve documentation deficiencies.
  • Calculate secured and unsecured loan values and maintain accurate supporting records.
Data Management & Reporting
  • Maintain and update Excel spreadsheets, databases, and other data tracking systems related to homeownership sales activities.
  • Ensure accuracy, consistency, and integrity of program data and records.
  • Prepare reports and supporting documentation as requested by management.
Payment Processing Support
  • Conduct preliminary reviews of requisition and payment documentation to verify numerical accuracy and completeness.
  • Confirm totals, calculations, and supporting information prior to payment processing.
  • Collaborate with the Vice President, Homeownership Program staff, and Loan Servicing team to prepare and process payment requests efficiently and accurately.
Interdepartmental Coordination
  • Facilitate communication between departments to secure required approvals and sign-offs for checklist items, including MWBE and Environmental reviews.
  • Utilize standardized templates and procedures to request and track approvals.
  • Maintain clear documentation of communications and approval status.
Administrative Support
  • Provide general administrative support to the Homeownership Program and related departments, including scheduling, filing, document preparation, and records management.
  • Assist with special projects and other duties as assigned.
  • Adapt to changing priorities and support operational needs across the department.

Minimum Qualifications
  • Bachelor’s degree required.
  • Minimum of two (2) years of experience in a fast-paced office environment performing administrative or project support functions, including:
    • Document preparation and processing
    • Electronic records management
    • Database maintenance and data entry
    • Administrative coordination
  • Proficiency in Microsoft Office Suite, particularly:
    • Microsoft Excel (advanced spreadsheet management and data tracking)
    • Microsoft Word
    • Microsoft Outlook (shared calendars and scheduling)
    • SharePoint
  • Experience creating and maintaining spreadsheets and entering data into online databases.
  • Demonstrated ability to manage confidential and sensitive information with discretion.
  • Strong organizational, analytical, and communication skills.
  • Ability to work independently while also collaborating effectively within a team environment.
  • Proven ability to manage multiple priorities, meet deadlines, and adapt to evolving business needs.
Preferred Qualifications
  • Familiarity with housing, homeownership, community development, mortgage, or affordable housing programs.
  • Experience working in a legal, real estate, mortgage lending, title, or property management environment.
  • Knowledge of document review processes and compliance-based administrative workflows.
  • Experience supporting financial transactions, loan documentation, or payment processing activities.
