Position Type: Long-term, temporary (1+ years)
Location: West Haverstraw, NY
Hours: Monday - Friday, 8 hours per day

About the Opportunity:
We are seeking a highly organized and detail-oriented Medical Secretary to provide vital administrative support to our medical staff and leadership teams. This role is perfect for someone who thrives in a healthcare setting, understands the importance of confidentiality and accuracy, and enjoys being at the center of communication, scheduling, and coordination across clinical departments.

As a Medical Secretary, you’ll play a key role in ensuring the smooth operation of medical staff functions, maintaining accurate records, and supporting hospital-wide administrative processes.

Key Responsibilities:
  • Perform general secretarial duties with a strong working knowledge of medical terminology, hospital procedures, and clinical workflows
  • Schedule patient appointments and manage provider calendars
  • Assist with patient billing and ensure accurate medical record documentation
  • Prepare and maintain medical charts, reports, and professional correspondence
  • Communicate effectively using proper business English and professional etiquette
  • Coordinate daily administrative operations with sensitivity to both patient and provider needs
  • Serve as a liaison between Medical Staff, hospital administration, and clinical departments to ensure compliance with all administrative and credentialing requirements
  • Oversee the credentialing and privileging process in accordance with hospital policies and Medical Staff Bylaws
  • Provide technical and administrative support to various Medical Staff committees including Medical Executive and Credentials Committees (e.g., preparing agendas, meeting minutes, credentialing reports, and quality improvement documentation)
  • Assist in the review, revision, and distribution of Medical Staff Bylaws, Rules, and Regulations
  • Supervise and support the execution of Medical Staff Office functions, including:
  • EPriy
  • Medicare enrollment and revalidation
  • OPPE/FPPE processes
  • Health Commerce System enrollment
  • Insurance panel credentialing & CAQH
  • Transfer agreements
  • Professional billing and practitioner scheduling
  • Maintenance of contract databases and provider contact lists
  • Onboarding and offboarding of Medical Staff
  • Intranet content support for Medical Staff and hospital updates
  • Design and manage hospital-wide surveys (e.g., Employee Engagement and Patient Satisfaction)
  • Analyze and present survey findings to leadership with actionable insights and visual reports

What You Bring:
  • Strong understanding of medical terminology and healthcare documentation
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent organizational, time management, and communication skills
  • Ability to manage multiple tasks, prioritize, and meet deadlines with accuracy
  • Previous experience in a hospital or healthcare administrative role preferred
  • Familiarity with credentialing platforms, EMRs, and healthcare regulatory systems is a plus
