Title: Administrative Assistant
Position Type: Short-term, temporary (less than 1 year)
Location: Albany, NY
Hours: 9am-5pm, 37.5 hrs. per week
Work Authorization: Must be authorized to work for any employer in the U.S without sponsorships.

As an Administrative Assistant in the Procurement Unit, you will be a vital part of the team that keeps essential operations moving forward. Your work may not always be front and center, but it will be deeply valued and necessary. From managing communications and tracking purchases to supporting procurement processes and maintaining records, you will help ensure that staff across the organization have the tools and resources they need to do their jobs effectively.

This is more than an administrative role. It is an opportunity to build relationships, solve problems, and take pride in keeping a large agency running efficiently and with integrity.

What You Will Do:
  • Review and organize incoming email for the Procurement Unit
  • Route messages to the right contacts, escalate time-sensitive issues, and respond to general inquiries
  • Research referenced purchase orders to provide helpful information and context
  • Track purchase requests to ensure they are processed accurately and in a timely manner
  • Retrieve and prepare records for storage or access, and scan, print, and file documents as needed
  • Check procurement card logs for accuracy and completeness and follow up with staff to fill in missing details
  • Help prepare quotes and purchase orders, working closely with your supervisor for guidance
  • Enter data into the Statewide Financial System (SFS) to support transparency and accountability
  • Answer phones and provide courteous, helpful assistance as the first point of contact for the BFMB team

  • A strong sense of responsibility and pride in doing things well
  • Attention to detail and the ability to stay organized, even when juggling multiple tasks
  • A positive, helpful attitude and strong communication skills
  • Willingness to learn, take initiative, and support colleagues wherever needed
